Use of Cookies
"Cookies" are helpful pieces of information about you that a website places in the browser directory of your computer’s hard disk. A cookie is a small piece of information that a website can store on your web browser and later retrieve. Through the use of these cookies, our web server may collect the Internet Protocol (IP) address and the domain name you used to access this website, the type and version of web browser and operating system you are using, the number, duration and frequency of visits to our website and the website you came from and visit next. Cookies are only used to keep track of login names and passwords.
A user's email address is automatically logged in when he or she revisits the site. The user does not have to re-enter profile information. This is to keep track of preferences and to better tailor the site to the user's needs while providing the most effective service to our clients. Information such as IP address internal session ID, user's domain, type of internet browser, domain of website are collected and used only for traffic auditing and analyzing trends.
SpotMyID does not link, share or associate the contents of the session cookie with any other information in a way that would enable the identification of visitors to our website, nor do we track or link together multiple visits by any single user over time. This information is used by us for analytical and statistical purposes. Server log information is also analyzed by us in order to improve our website and to customize the website for users. Cookies can make your return visits to the website more convenient. They are used to do the "record keeping" that allows a computer to remember who you are when you visit the site. The cookie cannot be read by any website other than the one that set up the cookies. As noted above, the technical and statistical information that is automatically collected through the use of cookies whenever you visit SpotMyID.com is used to help us improve the site and the member experience.
Correcting or Updating Your Information
You can help us maintain the accuracy of the personal information collected through the website by notifying us of any changes.
Use of Secure Socket Layer (SSL)
All personal information that you may transmit to us via the Internet is sent using a Secure Socket Layer (SSL). This is a secure protocol that provides an enhanced layer of security when submitting information over the Internet. Essentially the SSL encrypts or scrambles information when it is transmitted from your computer through the Internet to our servers. This is similar to a lock and key mechanism, where only servers that have the suitable key can descramble and/or unencrypt the information once received. This serves as an added layer to protect all your personal information, including payment details and credit card information, from being intercepted and read by an unauthorized party via the Internet or other transmission protocol.
To ensure your information is being sent via a valid SSL, you can see one or all of the following characteristics in your browser: the address in the address bar will begin with https:// instead of http:// (the "s" stands for secure); you will also see a small key or padlock in the bottom right corner of your browser if you are using Microsoft, Mozilla or similar browsers, indicating that your transaction is secure. In addition, we meet all of the stringent requirements of the security seal for all online transactions.
Information Storage
All data and personal information that we possess as it pertains to our members is stored in electronic format on our secure servers at our data centre and in some cases secure physical file format in a secure location.
Security & Access
We take the protection of personal information seriously, and we make all commercially reasonable efforts to protect personal information against loss and unauthorized access. We have adopted procedures to secure storage of personal information and are committed to working with our clients to protect the security of personal information during any transfer to or from us.
We have also instituted a number of safeguards to identify and prevent the fraudulent use of personal credit information. We use firewall technology to protect against intrusion and we have various access processes, including password protection and cryptography, in place to secure against loss and unauthorized access. Furthermore, we utilize some industry-leading antivirus software solutions and have taken measures for the physical security of our facilities.
In order to ensure security and protection of all information, all employees are aware of our security policy and practices and our physical offices are protected with multiple layers of security and limited access privileges. All visitors to our facility must sign in at reception and be escorted by one of our staff members at all times while on premises. We have additional layers of security and access that are proprietary in nature and cannot be shared in this policy due to the sensitivity of the security in place.
Our website security is constantly reviewed and improved and access to the information is limited to authorized personnel. Any loss, misuse or alteration of personal information by our employees, contractors or other parties is strictly prohibited. When required, we will follow up by appropriate action and termination of the employee. All of our employees, contractors or similar type of relationships are bound by confidentiality and/or non-disclosure agreements.
All our members' information is stored in secure databases. All our personnel including, but not limited to, employees, agents, contractors and third-party service providers who may assist us in providing services to you are strictly prohibited from using your personal information for any purpose other than to provide this assistance. All personnel are required to protect personal information disclosed by us and to comply with the general privacy principles described in this privacy policy.
